STCW establishes international training, certification and watchkeeping standards. It does not mean that every credential follows one identical five-year process. Requirements depend on the certificate, function, evidence of recent competence and the rules applied by the issuing administration.

The practical lesson is simple: do not wait for the expiry month.

Build a certificate calendar

Create one list containing every CoC, CoP, endorsement, medical certificate and travel document. Record:

Set reminders at 12, 6 and 3 months. If you are at sea when a deadline approaches, allow extra time for appointments, approved-course availability and document processing.

Avoid common mistakes

Do not assume that completing a similarly named commercial course meets the requirement. Confirm the provider, course approval and version before paying. Do not alter expiry dates, sea-service records or scans. Do not surrender originals to an unverified middleman.

If your certificate has already expired, check the official revalidation route. The answer may depend on the time elapsed and the evidence available; a web checklist cannot determine the outcome.

Make the system easy to maintain

Keep a protected digital folder and a separate voyage-ready document wallet. Give files clear names using the document title and expiry date, but avoid putting passport or certificate numbers in filenames. Store a backup where you can reach it securely away from the vessel.

Once a month, review the next 12 months of expiry dates. After every contract, add discharge and sea-service evidence immediately. After every course, check the issued name, title and date before leaving the provider.

Questions before booking refresher training

“STCW course” is too broad a description for a payment decision. Obtain the exact course title and its relevance to your certificate in writing.
