Seafarers rely on several documents, and each serves a different purpose. A seaman card supports maritime identity functions, while the Buku Perkhidmatan Pelaut—often discussed in English as a discharge book or seafarer service book—records qualifying sea service and related entries. Neither replaces a passport, certificate of competency, medical certificate or visa when those are required.
Keep identity and service records accurate
Check the spelling of your name, identity number, photograph, dates and document number as soon as a document is issued. Ensure vessel service entries are completed accurately and supported by the records required under current procedures. An error left for years can complicate a later application.
Plan renewal early
Validity periods, eligibility evidence, appointments and fees are notice-dependent. Do not rely on an old social-media post or a colleague’s past application. Consult the Marine Department seafarer documentation page, current Malaysia Shipping Notices, and SDPx.
Before renewal, verify that personal details match your other documents, scans are legible, photographs meet current specifications and supporting sea-service evidence is complete. Save the submission acknowledgement and status reference.
If a document is lost or damaged
Protect yourself from misuse and begin the official replacement process promptly. Depending on current requirements, you may need a police report, written explanation, identity evidence, damaged original, photograph or fee. Record the loss date and location. Do not advertise the full document number publicly.
Keep secure copies
Store a clear scan in an encrypted or access-controlled location. A trusted family member may keep a backup. A copy usually does not replace the original for travel or service, but it can assist identification and replacement.

- Name and identity details match across documents.
- Expiry dates checked before each contract.
- Sea-service entries are complete and accurate.
- Current notice and SDPx requirements verified.
- Secure copies stored separately.
- Loss or damage reported promptly.
- Submission and replacement references saved.
